Learn Legal MS Word - Tables - Tips, Tricks and Observations - Used In Legal WP

If you know what you are doing when constructing a Table, then any financial type table that comes your way will look great.

1.  If in Print Layout view, place cursor on the table wait for target symbol to appear in upper left of table and click 1x.

2.  Once you have the entire table highlighted, I would a) remove all borders so grey grid is visible only, b) remove before and after spacing, c) reduce font size at least 2 points down from document font (if needed) d) under Table Properties, Center the table as a whole and under "Cells" choose bottom alignment and Left Alignment.  Now we are ready to put the table together.

3. If you hover your cursor on the left outside edge of a table row the cursor will tilt right and you can then click to highlight the entire row.  Type in your headings and center them.  To underscore the headings properly -  highlight the headings and under borders and shading choose bottom border for "paragraph" not cell.

4.  Choosing "cell" will make a line from end to end of the cell and if you have two headings side by side the underscore will end up appearing as 1 long unbroken line.  Bottom border "Apply To Paragraph" will leave a tiny bit of space on the left and right side of the cell thus giving the viewer a clear delineation between the two columns which is what you want!

5. As to numbers.  All number cells must 
be left aligned if this method is to work.  Dollar Sign numbers $1,000.00 use a right tab in the ruler. You type in $ sign -tab over to right tab in ruler for that cell (control tab) and type in the number.

6. For non-dollar sign lines, place a decimal line tab in ruler, line up under the last digit of the dollar sign line and type in your numbers.  Use your "Paint Brush" to format the remaining cells that need $ sign numbers and Decimal align numbers.

Use this method for tables and they will always look great!!!

Two Common Issues with TOC and TOA

1.  A common error with the TOA (Table of Authorities) is that the headings within the Table such as Cases, Statutes and Rules are in one Font while the remainder of the Table is in another.  It happens because a quick look and you will pass over it without really noticing.  The default setting for the style TOA Heading is not Times New Roman (most commonly used) so this comes up again and again.

2. In this case, modify the style TOA Heading and switch the Font to match the remainder of the TOA. Most often it is in Ariel and needs to be switched to the common Font Times New Roman 12.  If you are in Draft View, you can double click on the style TOA Heading to modify it.

Next Issue:

This next issue concerns both the TOC and the TOA

There are times when the text is crowding the page numbers to the extreme right in a TOC or TOA.  Sometimes an attorney will notice it and ask the operator to please clean it up meaning to get the text away from the page numbers to the right so that it does not look so cluttered.

1.  Some people manually go to the ruler and fix it by tugging the right margin toward the left for those entries that crowd the number.   Each time that the TOA is updated, the problem resurfaces since it was done with direct formatting.  So, the question becomes what controls the text of the completed TOA or TOC so that we can improve the look of the TOA or TOC and it will be fixed once and for all.  

2.  For the TOA,  the style associated with the completed TOA entries is called “Table of Authorities”.   Do the following:

1.​  Either double click on the left hand side style tracking  “Table of Authorities” or right click on the right hand side panel where it says the name of the style “Table of Authorities”.

2.​   Under Modify, go to Format Paragraph and under Indentation “Right” make that 0.5.  That will take all of the text of the Table of Authorities and will push it back towards the left an additional 0.5 thus making a clear lane between the Table of Authorities Text and the Page Numbering.  

3.   ​If you look at the ruler when your cursor is in the TOA you will notice that there is a right tab in the ruler toward the extreme right.  You just leave that as is.  The right tab controls the actual Page numbering all the way to the right.

4.​  Finally it is very important to note that if your TOC (Table of Contents) has this same crowding problem, you will go about fixing it in the same manner by modifying the styles TOC 1 and TOC 2 in your completed Table of Contents and set the right indent to 0.5 just as you did for the TOA.

Knowing these tips will get you in the habit of looking at the headings of the TOA and the spacing of the entries and the corresponding page numbers on both the TOC and TOA.

No, The Document Is Not Corrupt...

Every time I do one of these articles they always stem from a combination of stress, lack of experience with the problem, the attorney or supervisor hovering over you and that mixture has a way of making the problem seem much worse than it really is.

Scenario:  Secretary is asked to bring in a logo and a number of JPG pictures for a brochure in MS Word.  The secretary does so and the pictures won't show on the screen. There is now a  box like figure where the picture should have been.  

1.  The secretary under some pressure, deleted the boxes and started again but got the same result.

2.  She was in Print Layout View.  To make matters worse, when she switched over to Draft View, she did not even have the box in place of the picture but instead a large gap where the picture would have been.

3.  She went to her help desk and they said that the pictures are showing under Draft and Print Layout View when they go to File - Print and look at the Preview.  They then said she should just print the file out for now.

4.  She really was not comfortable with the answer, but at least she could print the file and get the pictures in their intended location on the hard copy.

5. The answer to this minor dilemma is the "Show Picture Placeholders" selection which was active and that is what prevented the JPG pictures from showing on the screen.

To turn it off:

File - Options -  Advanced - Show Document Content - Show Picture Placeholders.  Remove the check and the problem is solved.

2.  All MS Word related questions are fielded from the group and explained thoroughly in front of the group.

3.  All sessions are unique since the questions come from the group.  A lot of ground is covered.

4.  Within 48 hours, everyone attending receives a summary of all questions asked, the answers and supporting material which will go into more detail.  The Press Conference can be 2.5 or 4 hours.  The material we discuss, will make everyone more comfortable, more productive and significantly more knowledgeable than before the session.

5.  If the group wishes to focus on certain topics exclusively, then that can be done as well.

It is an easy way to get the staff interested in expanding their current knowledge in a comfortable setting.  The more they know  the better the work product.
